Put each cost in Expense Report. Use Claim Balance to total one report ID. Keep the amount asked for, the source ID and the amount accepted in their own fields. Only lines with Approved status count in the balance. Check any money paid in advance too. A known zero and a blank mean different things. Try the worked file before the blank copy.
Open the Excel expense report
The XLSX uses normal formulas and needs no macros. Write who made the claim and which dates it covers. Put the same report ID on each line in that claim. The total uses this ID to choose the right rows. A supplier name is not a report ID: one supplier can appear in many claims.
Check the Excel report balance
The made-up example has two accepted amounts, 80 and 100. Claim Balance adds them to 180, then takes off the 200 already paid. The result is minus 20. That means 20 is to go back to the business.
Keep that result clear. Do not turn it into zero just to hide the minus sign.
Check a row with a different report ID in a copy of the file. It should not enter the first report's total. Keep the copy apart from live claims so made-up rows cannot become real requests for payment.
Review before sharing
Keep the amount asked for and the amount accepted in separate columns. The status field shows Submitted, Approved or Returned. A status is a record of the review, not proof that money moved. Keep the receipts private and put their IDs in the file. Save the checked version before a later edit.
FAQ: the Excel report
Do I type into the total?
Use the input cells for line approvals and the advance. Let the stated formula calculate the selected balance. If the result differs from your expected amount, check the report ID and status first. Do not overwrite the formula with a number merely to make the sheet agree with an unverified expectation.
Is an approved line already paid?
Approval and payment are separate events. The report records the decision; your payment record should show when and how the balance was settled. Link them with the report ID. This keeps an approved but unpaid claim visible and helps prevent a later payment from being treated as another new expense.
Can I add more than one report?
Use distinct report IDs and check the selected ID in Claim Balance. The supplied ranges cover rows 2 through 1001. Extend every relevant formula and validation range before going beyond them. Review access too, since one workbook containing many claims may reveal more information than each claimant needs to see.
What happens if the advance is unknown?
Leave it unknown until the actual payment record confirms the amount. The balance should not imply a final settlement amount before that input is known. Enter zero only after checking that no advance was paid. This preserves the difference between an unanswered field and a confirmed absence of an earlier payment.
