Travel Expense Report Template: Templates and Setup

A travel expense report template connects trip purpose, original costs, currency conversion evidence and approval, so each claimed reporting-currency amount can be traced and checked.

Log the trip and each cost in its original currency. To convert it, enter how many units of the report currency equal one source unit. Keep the rate's date and source. Multiply the original cost by that rate. Then review the claim. The file has no live rate feed, and it does not decide which costs can be paid back or deducted.

Give the trip an ID. State who travelled, where the trip started and ended, and why it was for work. Each cost needs a date, currency, amount and receipt ID. Keep private details out of a shared report when a code is enough. The code should lead to the right source through the business's private review process.
Check currency direction
The made-up example uses 100 EUR and a rate of 1.10 USD per EUR. The result is 110 USD. This is a rate chosen to show the maths, not a current quote. Write the units beside the rate. If the rate points the other way, the same multiplication does not give the same meaning.
The main cost sheet uses one report currency. Keep the original amount and rate record before entering the checked amount there. If the rate is unknown, leave the question open. A guessed rate is not a source. A zero would falsely imply that the cost has no amount.
Review approval and settlement
Keep a cost paid by the business apart from money the traveller asks to get back. A receipt can belong in the trip record without creating money owed to the traveller. Compare the accepted claim with any advance. Keep a minus balance visible, then record the payment or return after it happens.
FAQ: travel reports
Does the file update exchange rates?
No. You enter the rate, source and date. State the rate direction clearly and compare it with the amount charged or the business's chosen conversion policy. The fictional worked rate only demonstrates multiplication. A current conversion needs evidence relevant to the actual cost and reporting method, not a copied example.
What if a trip uses several currencies?
Keep each original currency and amount on its own cost line. Convert each using the supported rate and retain the source. The core expense register then receives checked amounts in one reporting currency. Do not add the original numeric amounts together across currencies; a total without common units has no useful meaning.
Are all travel costs reimbursable?
The business's policy and approval process decide repayment. The template records purpose, evidence and the approved result. It does not create an entitlement. Keep unclear or personal items marked for review, and preserve the reason for any partial approval rather than overwriting the amount that was originally claimed.
Can I use this for tax filing?
It can organise records for a later review, but it does not compute deductions or decide the tax treatment of travel. Keep the source documents and business purpose. Check the official rules for the relevant year and situation separately. Reimbursement and tax treatment are different questions even when they use the same evidence.
