Choose the date before the rate
The IRS business benchmark changed during 2026. Travel from January through June uses 72.5 cents per mile; qualifying travel from July through December uses 76 cents. The calculator prices each dated trip separately. The worked example uses 100 business miles on each side of that boundary, for a mileage amount of $148.50.
The rate history covers every period in the current IRS standard mileage table, from 2011 through 2026. It also applies the midyear changes in 2011 and 2022. Business, medical, qualified moving and charity use remain distinct. My agreed rate accepts your own USD-per-mile amount; it does not overwrite the IRS reference table.
Record the whole journey
Enter the distance for one trip and choose miles or kilometers. Turn on the return-trip option only when the distance entered is one way. The number of trips repeats that journey on the selected date and rate. Journeys on different dates belong in separate entries.
Excluded commuting or personal distance is entered for all repeated and return journeys together, in the selected distance unit. The tool converts eligible kilometers to miles before applying a USD-per-mile rate. Keep the route, business purpose and log reference in Journey details. Add eligible parking and tolls once for that entry’s complete set of journeys.
Keep the amount and its purpose together
Review each date, purpose, route, eligible distance, rate, mileage amount and extra cost before exporting. The total is the amount at the selected benchmarks or agreed rates. It does not decide whether the trip qualifies, whether an employer must pay that rate, or whether the amount is an allowable deduction. Ordinary commuting is generally personal travel; moving deductions have restricted eligibility under IRS Publication 463.
The worksheet saves on this device. Download an editable draft to move it elsewhere. Excel and CSV exports retain the source trip fields, rates and calculated amounts. An exported CSV can be imported back into this tool; report details and the worksheet type must match. Print or save PDF gives an itemized trip handoff. Clear your entries after using a shared device.

Method and recordkeeping
Eligible distance is the entered distance, adjusted for return journeys and trip count, less the entered exclusions. One international mile equals exactly 1.609344 kilometers, following the NIST international-mile conversion. Mileage money is rounded to cents for each trip entry before adding parking and tolls; entry totals are then added. Rows with a missing date, distance, trip count or rate are shown as incomplete, and final exports wait until those fields are corrected.
The tool uses the user-entered records and the IRS history checked on the date above. A date beyond the published IRS history needs an agreed rate. Medical and moving mileage share a published benchmark, but eligibility remains separate. Rates will be checked before January 2027 and at any announced midyear change. Send a source or arithmetic correction through the contact form with a fictional example.
Keep the underlying evidence using the vehicle expense tracking guide. To combine the mileage amount with other costs and an advance, use the expense report builder. Compare travel benchmarks with other cost evidence in the business expense statistics.
