Real Estate Agent Expenses Spreadsheet: Templates and Setup

A desk arranged for business recordkeeping with a laptop and paper records

A real estate agent expenses spreadsheet links costs to listing IDs, private client references and trip records, while keeping commission income separate from costs.

Log paid costs in the main sheet. Agent Records links each row to a listing, a private client code and a trip ID. Keep client names out of a shared cost file when a code is enough. Log received fees as income. Check the sources before export. The file tracks entered records; it does not work out tax deductions or keep brokerage accounts.

Set up the real estate agent expenses spreadsheet

Give each listing a code that stays the same. Use a made-up client label in a shared view if a name is not needed. Keep the name-to-code list private. The listing code helps explain the cost without putting a client's details in each copy of the file.

Capture agent costs and trips

Enter a cost once in Transactions. Put that row's ID in Agent Records to link it to the listing. For a trip, keep its ID and work purpose in Vehicle or Travel. Distance is the end reading less the start reading. The file does not turn that distance into a tax deduction.

Review and export

Check whose records you are viewing and which dates the report covers. Open the sources and check the entered amounts. Use Income for fees received, with paid costs kept apart. Net movement is not tax profit. It also does not meet the separate needs of a brokerage trust account.

Keep the checked file private and list the questions still open.

FAQ: agent records

Should I enter client names?

Use only the information needed for the task. A client pseudonym and listing ID may be enough in a shared expense record. Keep any identity mapping privately with appropriate access. Avoid publishing real client information in samples, screenshots or general correction requests. The public template does not need private transaction details.

Where do commissions belong?

Record received commission money in the income register with its source and reference. Keep operating costs in the expense register. Do not hide one by netting it against the other without a deliberate supported process. The cash movement summary can compare them while preserving the separate events and their evidence.

Does mileage create a deduction?

The vehicle tab calculates entered distance only. Tax treatment depends on separate rules and facts for the applicable year. Keep trip purpose and supporting records. The spreadsheet does not choose a method or turn every mile into an allowable amount, even when the arithmetic distance is correct and the trip has a listing ID.

Can I share the workbook publicly?

Keep live business records private. The pack's licence permits internal adaptation and printing, with no resale or redistribution of the pack. Link to the public preview when recommending it. Review file and folder permissions before sharing a working copy, especially where source references can reveal client or listing information.

Sources and checks

Checked 15 October 2026. The examples are fictional and the arithmetic is original.
