Restaurant Expenses Spreadsheet: Templates and Setup

A restaurant expenses spreadsheet groups purchases, labour and occupancy costs against an entered plan, keeping inventory, payroll and tax calculations outside its cost totals.

Log paid costs in Transactions, then compare them with the plan in Restaurant Budget. Keep the supplier and source ID on each row. State which dates the report covers. Food bought is not the same as food used. The file does not work out stock use, wages or tip taxes. It adds entered amounts and leaves those separate jobs to their own records.
Set restaurant expenses spreadsheet categories
The review tab starts with Purchases, Labour and Occupancy. Define what each label covers. Keep the payee and purpose in the main sheet so a vendor name does not have to explain every item on a bill. A mixed bill may need a sourced split, with all parts linked to the same document.
Compare recorded costs with the plan
Enter a budget for the chosen company and dates. The tab adds matching costs from the main sheet. Its made-up restaurant, REST, has Purchases of 120 less a refund of 20, giving 100. Labour is 80. Those are entered amounts, not a wage calculation.
The difference is actual minus budget. Keep its sign clear on the report.
Keep inventory and payroll separate
Paying for food does not tell you how much was used. Keep the stock and sales records for that separate question. A Labour total also needs a clear label: it adds paid amounts entered in the file. It does not work out wages, tips or tax.
Leave a missing budget blank until known. Zero is a different, confirmed input.
Keep the period label on the review
State the company, currency and dates beside the budget comparison. A weekly purchase view and a monthly plan use different scopes. Check those boundaries before treating the difference as a result of the restaurant's activity.
FAQ: restaurant records
Is purchase total the same as food cost?
Not automatically. The register adds entered costs under a stated scope. Inventory movement, use and other accounting questions need their own records and method. Keep purchase evidence and the period clear. Do not label a cash-purchase total as cost of goods sold merely because it includes food suppliers.
Does the sheet calculate payroll?
No. It can hold recorded paid amounts under a management label. Payroll calculations, tips and employment-tax work are outside the pack. Keep the relevant source records and connect their references where appropriate. Do not duplicate a payroll summary and each underlying payment as separate new operating costs in the same total.
How should a mixed supplier invoice be entered?
Read the source and preserve its reference. If it supports a split into several types, link the related rows and check that their amounts add to the intended total. Avoid entering the full invoice again. If the split is unclear, record the question rather than guessing categories from the supplier name.
Can I track a budget here?
The Restaurant Budget tab records an entered budget and reviewed actual amount for a stated period. It does not forecast demand or future purchases. Keep the source of the budget and actuals clear. A missing budget is unknown, while a confirmed zero budget is a distinct input with a different interpretation.
